1. Who We Are

J&Z Vitalis Inc. ("J&Z Vitalis," "we," "us," or "our") is a U.S.-based healthcare coordination and advisory company incorporated in California. We help patients research and access medical treatment options at licensed institutions abroad, primarily in Turkey.

We are not a clinic, hospital, or medical provider. We do not deliver medical treatment and do not employ licensed physicians in a clinical capacity.

2. Information We Collect

We collect information you provide directly to us, including:

• Name and contact details (email address, phone number, WhatsApp number)
• Information about your medical inquiry or treatment interest
• Medical records, scans, or documents you choose to upload voluntarily
• Communications with our coordination team, and transcripts of conversations with Jason, our AI voice assistant
• How you heard about us (referral source)
• Your consent selections, recorded together with the policy version, the date and time of submission, and the IP address used

We also collect limited technical data automatically, including IP address, browser type, and pages visited, through standard web analytics tools.

3. How We Use Your Information

We use the information you provide to:

• Respond to your inquiry and prepare a personalized coordination assessment
• Connect you with licensed medical institutions appropriate for your case
• Communicate with you about your case by email, and — where you have given separate consent — by phone, text message, or WhatsApp
• Improve our services and website functionality
• Comply with applicable legal obligations

We do not use your information for automated decision-making or profiling that produces legal effects.

4. Medical Information

Any health-related information you share with us — including documents, records, or descriptions of your condition — is treated with strict confidentiality. This information is accessed only by the coordination team member assigned to your case and is not shared with third parties except as described in Section 6.

A note on email security. Documents submitted through our website are delivered to our team by email. Standard email is not a fully secure channel. Please avoid sending highly sensitive medical information by unsecured email where a reasonable alternative exists, and contact us if you would prefer to arrange a different method of delivery.

5. Where Your Information Is Processed

Your information is processed in the United States and, where relevant to your case, in Turkey.

When you ask us to prepare a coordination assessment, the information and documents relevant to your case are shared with the treating institution abroad so that its physicians can review them. This means your personal and health information is transferred outside the United States, to a country whose data protection laws differ from those of the United States and which may not provide the same level of legal protection.

We ask for your explicit consent to this transfer before you submit information through our website. If you do not wish your information to be transferred abroad, we will not be able to prepare a coordination assessment for you.

6. How We Share Your Information

We do not sell your personal information. We share your information only in the following circumstances:

• With licensed medical institutions: Only after your explicit consent, and only the information relevant to your coordination case.
• With service providers: Third-party tools we use to operate our website and communication systems — currently website hosting, business email, and the AI voice assistant described in Section 9. These providers are contractually required to protect your data.
• As required by law: If we are legally required to disclose information, we will do so only to the extent necessary.

7. Data Storage and Security

We use encryption in transit (HTTPS/TLS) for all data transmitted through our website.

Documents you upload through our website are not retained on our web server. They are delivered to our business email system, hosted by a U.S.-based provider, and are accessible only to the coordination team.

No method of electronic transmission or storage is fully secure. While we take reasonable measures to protect your information, we cannot guarantee absolute security.

Data breach notification. If a breach affecting your personal information occurs, we will notify affected individuals and, where required, the relevant authorities, in accordance with applicable law.

8. Data Retention

We retain your personal information for as long as necessary to provide our services or as required by applicable law. Conversation transcripts and case documents are retained only for as long as needed to coordinate and follow up on your case.

If you request deletion of your information, we will do so within 30 days, except where retention is required by law.

9. Jason — AI Voice Assistant

Jason is an AI voice assistant, not a person, and not a medical professional. Jason provides general information about our coordination services. Jason does not provide medical advice, diagnosis, or treatment recommendations. All clinical decisions are made by licensed physicians at the treating institution.

Jason is built on technology provided by ElevenLabs. When you speak or write to Jason, your speech is transcribed and processed by that provider in real time using cloud-based AI services. We have enabled a zero-retention configuration, which means the provider does not store the content of your conversation after processing it.

A transcript of the conversation is delivered to J&Z Vitalis so that a coordinator can follow up on your enquiry, and is retained by us as described in Section 8.

If you would prefer not to have your conversation transcribed, please email operations@jzvitalis.com instead and a member of our team will reply.

10. Communications and Your Consent

We will contact you by email in response to your enquiry.

Contact by phone, text message, or WhatsApp — including any automated or prerecorded messages — takes place only where you have given separate, optional consent. This consent is not a condition of receiving any service from us. You may withdraw it at any time by replying STOP to a message or emailing operations@jzvitalis.com.

Message and data rates may apply to text messages sent or received.

11. Your Rights

Depending on your location, you may have the right to:

• Access the personal information we hold about you
• Request correction of inaccurate information
• Request deletion of your information
• Withdraw consent to future communications
• Lodge a complaint with a relevant data protection authority

12. California Privacy Rights

If you are a California resident, the California Consumer Privacy Act, as amended by the California Privacy Rights Act, gives you additional rights regarding your personal information:

• Right to limit our use and disclosure of sensitive personal information
• Right to opt out of the sale or sharing of personal information
• Right to non-discrimination for exercising any of these rights

13. Cookies

Our website uses essential cookies to function properly and analytics cookies to understand how visitors use the site. Analytics tools may process your IP address, device type, and browser information. You may disable cookies in your browser settings, though this may affect site functionality. We do not currently use advertising or retargeting cookies. If this changes, we will update this policy and our cookie notice before doing so.

Our website does not currently respond to browser "Do Not Track" signals.

14. Third-Party Links

Our website may contain links to third-party websites, including medical institutions we coordinate with. We are not responsible for the privacy practices of those sites and encourage you to review their policies independently.

15. Children's Privacy

Our services are intended for adults (18+). We do not knowingly collect personal information from minors. If you believe a minor has submitted information to us, please contact us immediately.

16. Changes to This Policy

We may update this Privacy Policy from time to time. The most current version will always be posted at this URL with the updated date at the top. Continued use of our services after changes constitutes acceptance of the updated policy.
